What are the deadlines for registration and payment?

The deadline for registering as an exhibitor is March 7, 2016. Payment is due in full upon receipt of contract and is non-refundable. We strongly advise registering well before this deadline, as the trade show floor plan typically sells out before then. Contact bfraser@nesea.org to see if there is still space available.

What is the timeline for the trade show?

  • Booth setup must occur on Tuesday, March 8 between 12:00 and 8:00 PM. You may not set up your booth on Wednesday morning before exhibition hours begin.

  • Exhibition hours are from 10:00 AM to 6:30 PM on Wednesday, March 9 (there will be a reception on the tradeshow floor from 5:00 - 6:30 PM on Wednesday) and from 10:00 AM to 4:00 PM on Thursday, March 10.

  • Booth dismantling must occur on Thursday, March 10 between 4:00 PM and 8:00 PM. Anyone found dismantling prior to 4:00 PM will not be invited back.

What exhibitor services are available?

We contract with several companies to make it convenient for you to access exhibitor services. Please see the Exhibitor Services page for a complete list of options. In addition, we've dedicated booth number 507 as NESEA Exhibitor Services, where our Sales Coordinator, Jake McDermott, will be available to answer questions.

What is included with an exhibition booth?

A draped booth, 6′ skirted table (in black), 2 chairs, a wastebasket, and an ID sign. The entire hall is carpeted in midnight blue. If you prefer another color please see the Exhibitor Services. In addition to these inclusions, NESEA offers the following code for exhibitors to use in their promotions offering a free trade show pass to their clients. If registrants enter BE16FREETRADESHOW in the discount field of the registration page, and click "apply", the trade show pass will be zeroed out.

Is lead retrieval provided?

No. We suggest ordering it from ExpoTrac, by fill out this form.

What about food?

There is a concession stand right on the trade show floor for a quick, convenient, and reasonably priced lunch or snack (see BuildingEnergy Boston's menu). Coffee is provided in the mornings, and water stations are available throughout the day. Lunch is not provided for exhibitors. NEW THIS YEAR: We are providing an Exhibitor Lounge near the front of the Seaport building. There will be water available at all times. Please use this room for quite time, phone calls, client meetings, etc.

Is there wireless Internet service in the exhibit hall?

Yes. However, if you require a dedicated connection for your booth display, you should contract for a connection through Freeman. More information is available on our Exhibitor Services page.

Can I have trade show passes for clients and prospects?

Yes. Please distribute this code far and wide. It will allow registrants to receive a free trade show pass: BE16FREETRADESHOW when they register on this page.

Can exhibitors attend the conference sessions?

Yes. Six single session passes will be distributed with your welcome kit onsite. Booth staff who would like to attend more sessions can purchase single-session tickets online or onsite.

What style of booth will I receive? How many staff can I bring?

10′x10′ and 10′x20′ booths are draped booths. 20′x20′ booths are islands. Up to 10 staff members may be assigned to a booth, regardless of size.

Can I get a pre-show copy of the attendee list?

We don’t generally distribute the attendee list pre-show. We may choose to make some attendee information available to all exhibitors and sponsors ahead of time, but we will not send you a full copy of the list. Stay tuned for updates.

Will I receive a post-show attendee list?

Yes, you will receive a copy of the attendee list within two weeks of the end of the conference. However, we encourage you seek out as many leads as possible at the show floor.

Can I speak at the conference?

No, an RFP process for speaking roles occurs in June. Please check for that opportunity for BuildingEnergy 17 in June of 2016.

How can I best promote my products and services?

So many ways! Here are some ideas. If you have others, we are happy to help in any way we can.

  • Encourage all of your clients and potential clients to visit your booth
  • Send sales@nesea.org a 40-word description and it will be included it in the conference app.
  • Note your booth number and the show dates and location on your website, in your email signature, on your voicemail greeting or hold message, and in your advertising
  • Send trade show passes to all your clients and potential clients. Code: BE16FREETRADESHOW
  • Schedule and promote a product introduction or demonstration to take place in the exhibitor demo area or the hands-on demo stage at the show
  • If your product or service is endorsed by an expert or other celebrity, ask for the opportunity to feature that person at your booth, and promote the occasion to potential show attendees
  • Don’t forget that we will give you some exposure on our website by providing a description of and link to your organization!
